Operator Notifications & Digests

Separate from any tenant's own alert contacts, an operator account has its own notification settings: which categories of its own actions generate an email, who receives them, and an optional periodic summary email covering every tenant the account manages.

Distinct from Client Alert Recipients

Client Alert Recipients are a client’s own IT contacts, configured per tenant, who hear about that tenant’s connection health, agent status, and upcoming retention activity.

The settings on this page are different: they belong to the operator’s own account, in the dashboard’s Settings area, under the Notifications and Scheduled Notifications tabs.

They control emails about the operator’s own actions across every tenant it manages, not a single tenant’s health.

Five independent category toggles

On the Notifications tab, an operator account controls five independent toggles. Each one corresponds to a category of the account’s own audited actions — the same actions that appear in that account’s Activity Log — so what is visible in the log is also what can be emailed.

ToggleCovers
BackupsA backup job started, including a manual trigger.
JobsA backup job cancelled, paused, or resumed.
TenantsA tenant connected, its Microsoft permissions re-approved, its backup scope changed, or a full rescan forced.
AccountThe account’s session timeout changed, or a device signed out remotely.
RestoresA file or email downloaded, a file or email restored, or Exchange metadata re-indexed.

Each toggle is independent — enabling Backups does not imply Jobs, and disabling Tenants has no effect on Restores. Every toggle defaults to enabled for a newly created account.

Recipients

A single recipient list, configured on the same Notifications tab, applies to both the five category toggles above and the summary email described below — there is no separate list for each.

If the list is left empty, emails go to the operator account’s own login email address only.

The list holds any number of additional addresses, and is not restricted to addresses that hold a BYOVault login.

Summary email (Scheduled Notifications tab)

Separately from the five real-time category toggles, an operator account can enable one recurring summary email covering job activity across every tenant the account manages, since the previous summary. This is off by default.

Each summary reports, for that period:

  • Jobs completed
  • Jobs that finished partially
  • Jobs that failed
  • Total data backed up

The schedule itself is configured with four independent settings:

  • Frequency — daily, weekly, or monthly. A daily summary looks back 24 hours; weekly looks back 7 days; monthly looks back 30 days, so the numbers in the email reflect the period actually being summarized rather than a fixed window regardless of cadence.
  • Day — for a weekly cadence, which day of the week it fires; for a monthly cadence, which day of the month, restricted to the 1st through the 28th so every calendar month, including February, behaves identically. Daily cadence has no day setting.
  • Time — the hour of the day it fires, in the timezone selected below.
  • Timezone — a real IANA timezone, not a fixed UTC offset, so the fire time follows daylight saving transitions correctly.

Turning the summary email off and back on has no side effects beyond stopping and resuming the email itself — it does not affect the five category toggles, the recipient list, or any tenant’s own data.

Delivery is not retried against a later window
If a particular summary email fails to send, that specific attempt is recorded as failed and is not retried against the same period. The next scheduled fire is a fresh attempt for the next period, not a resend of the missed one.

Delivery history

The Scheduled Notifications tab also shows a log of recent notification emails — both category-toggle emails and summary emails — with their delivery status, filterable by date range. This is a record of what was actually sent or actually failed, not just what settings are currently configured.
